The basic principle of Notes Portal is to provide within the framework of a single platform an environment for easy access to information for the user (employees, partners, customers, etc.) with the help of an Internet search engine. Further within the framework of this platform to provide to content authors and administrators the opportunity to create and build a company Web/intranet without knowledge of HTML, including ensuring an editing process for publication of thus acquired information.

Roles in Notes Portal

• The Administrator of the system establishes the Notes Portal database.
• The Notes Portal Administrator creates access groups for creating and approving documents.
• The Editor has the right to correct documents by other authors from the client’s Lotus Notes environment.
• The Approver permits the publication of prepared documents from the client’s Lotus Notes environment.
• The Author creates documents from the Lotus Notes environment of the client.
• The Reader seeks out and reads required documents through a Web browser.

Approval process

The creation of Notes Portal documents (units, pages, and links) takes place in the client’s Lotus Notes environment. In the application the approval process is defined, which ensures that from the search engine only completed and approved documents are available on the Website. The approval process proceeds according to the diagram.
